Match jobs to Xero tracking categories

Pair each Shiftly job with the matching option in your Xero tracking categories, or create jobs from your Xero tracking options.

Xero tracking categories let you split your accounts by things like region, venue or department. If you use them, you can pair each Shiftly job with the Xero tracking option it matches, so both systems use the same names. This guide covers the mapping page, pairing a single job, and creating jobs from your Xero tracking options.

Who this is for

Owners and managers using the Shiftly web platform who use jobs and track their costs with Xero tracking categories.

Before you start

  • Your business needs to be connected to Xero, and your Xero organisation needs at least one tracking category with options.
  • You need access to pay details to open the jobs page.
  • Jobs may have a different name in your business, such as Cost centres or Projects. This guide calls them jobs.

Pairing is a record of which job matches which Xero tracking option. Shiftly doesn't add tracking categories to the timesheets it posts to Xero yet, so if you report by tracking category in Xero, set them there.

Pair your jobs on the mapping page

Open the mapping page

Open the account menu (your initials, top right) and select Jobs, or whatever your business calls them. Select Xero Categories at the top of the page. The button only shows when you're connected to Xero.

Xero Tracking Category Mapping shows how many active jobs you have, how many are Mapped and how many are Unmapped, with a list of each.

The Xero Tracking Category Mapping page with Total Projects 4, Mapped 0 and Unmapped 4, and the Main Bar, Kitchen Operations, Terrace Dining and Private Events jobs each set to No mapping

Pick a tracking option for each job

Under Unmapped Projects, open the menu beside a job and pick its Xero tracking option. Options show as the category name followed by the option, for example Region: North. The change saves straight away, Shiftly confirms with Mapping saved, and the job moves to Mapped Projects.

The tracking option menu open beside the Main Bar job, listing No mapping followed by the options in the Xero Region tracking category

Change or remove a pairing

Open Mapped Projects to see the jobs you've paired. Pick a different option to change a pairing, or No mapping to remove it.

Only active jobs are listed. Archived jobs keep their pairing but don't appear here.

Pair one job at a time

When you create or edit a job, the Xero Tracking Category field sets the same pairing. Leave it on No Xero mapping if the job doesn't match a tracking option. See Track labour cost by job.

Create jobs from your Xero tracking options

The Connect jobs step of the Xero setup works the other way round. It lists every option in your Xero tracking categories:

  • An option that's already paired with a job shows that job's name. To change or remove a pairing, use the mapping page above.
  • A ticked option that isn't paired becomes a new job with the same name when you select Save and next. Shiftly gives it a code based on the name.
  • An unticked option is left alone.

Connect jobs with tracking items, listing the Region tracking category's Eastside, North, South and West Coast options, each ticked and marked New

To open it, go to Integrations, select Manage connection on the Xero card, then Connect jobs. The step only appears when your Xero organisation has tracking categories. See Connect your Xero organisation.
