Set up your business from scratch
The order to set Shiftly up in, from creating your business to publishing your first roster, with a link to the full guide for each step.
Setting up Shiftly is a handful of jobs that build on each other: your business, then your venues, the roles you roster, your pay rules and your team, and finally your first roster. Doing them in this order means each step has what it needs. Each step links to the guide with the detail.
Who this is for
Owners setting up a business on the Shiftly web platform for the first time.
Before you start
- Have your business address (with a street number) and the award that covers your staff.
- Have a list of your staff with their email addresses, or a spreadsheet of them.
Set up your business
Create your business
Enter your business name and address, and choose the award that covers your team. Shiftly creates your first location from the address you enter. When asked How would you like to get set up?, choose From scratch, or With sample data to explore with sample employees, shifts and rosters. You can clear the samples later with Remove sample data on the roster.
See Set up your business.
Set up your locations
Add any other venues, and check each one's settings: the clock-in boundary staff must be inside to clock on, the day its roster week starts, its default shift times, and what staff can see in Shiftly Me. Staff, shifts and positions all belong to a location, so this comes first.
Create your positions
Add the roles you roster at each location, such as Barista or Bartender. Every shift is for a position, so you need these before you can build a roster.
Check your pay rules and public holidays
Review your award's pay rules, and set the Pay week starts on day to match your payroll, because weekly overtime is counted across that week. Check each location's public holidays too.
See Customise your pay rules and Set a location's public holidays.
Add your team
Add your staff, collect their details, set their pay and invite them to Shiftly Me.
See Onboard a new employee for every step in order.
Invite your managers
If other people help run the venues, invite them as managers and choose which locations and areas they can access.
See Inviting managers.
Build and publish your first roster
Add shifts to the roster, then publish so your staff can see them in Shiftly Me.
See Find your way around the roster, Creating & editing shifts and Publishing a roster.
Optional extras
- Connect Xero to send approved hours to your pay runs. See Connect Shiftly to Xero.
- Track work by job, so you can see what each area or event costs. See Track labour cost by job.
- Save a week as a template once you have a roster you like. See Roster templates.
