The employee profile

Open a staff member's profile to manage their personal details, employment, payroll, banking, tax, super, availability and access.

Selecting a staff member on the People page opens their profile — a side panel with every detail about them, grouped into tabs. Each tab tracks its own completion, so you can see at a glance what's still missing.

Before you start

  • Open People from the main navigation and select the staff member's row.

Find your way around

The profile splits into two groups. Employee Details holds Personal, Employment, Payroll, Tags, Banking, Tax Declaration and Superannuation. Rostering holds Availability, Assigned Tasks and Leave. Tabs that still need information show an Incomplete pill; each tab has its own Save button.

Personal

The Personal tab holds the employee's name, contact details, gender, address and date of birth. The email is locked once the person exists — it's their sign-in — and the date of birth must make them at least 13.

Employment

The Employment tab sets their employment type, basis, income type, start date and ordinary hours.

Changes take effect from a future date

When you change the employment basis or hours, a Change effective from date appears — it can only be set to a future date, so existing pay history is never rewritten. Changing the basis (or the employment or income type) also clears the employee's classification, so you'll reclassify them.

Employment locks while leave is open

If the employee has an active or pending leave request, the Employment tab is locked and shows an alert. Resolve their leave before changing employment type, income type or basis.

Payroll

The Payroll tab holds the award code, base rate and rate overrides. See Rate overrides & allowances and Classifying staff.

Banking

The Banking tab records the bank account the employee is paid into — account holder name, BSB, account number and a statement reference (which defaults to "Wages").

Tax declaration

The Tax Declaration tab captures the employee's residency status for tax, their tax file number (or a TFN exemption), whether they claim the tax-free threshold, and whether they have a study or training loan.

Superannuation

The Superannuation tab lets you search for the employee's regulated super fund by name and record their member number. If you can't find the fund, use Don't see your super fund? to add it by its USI.

Tags — locations & positions

The Tags tab controls where and what the employee can work. Locations sets which of your locations they have access to. Positions lets you exclude positions — untick a position and it won't be offered to this employee when you roster.

Availability

The Availability tab shows the employee's available times for each day of the week, which the scheduler uses when you roster them.

Rostering — tasks and leave

The Leave tab shows the employee's leave balances and requests — see the leave guides. Assigned Tasks is coming soon.
